Privacy Policy
The Centre for Psychology and Forensic Psychological Services (CPFP) is dedicated in utilizing the highest level of security when dealing with client’s personal information.
The General Data Protection Regulation (GDPR) is designed to provide strong data protection by enforcing areas pertaining to the use and storage of your personal information. CPFP is GDPR compliant and as such these pages are designed to allow you to understand our privacy policies and provide you with information for you to make informed decisions about consenting to our services.
What data do we collect?
At the start of your engagement with CPFP, you will be asked to complete a personal information sheet, which includes details of your name, your date of Birth, address, contact details and the presenting issue that you are seeking help with and an area for consent, to allow us to securely store your personal information.
We will never share your data, unless we have your consent to do so, or there is a legal requirement or court order to do so. The other constraints of confidentiality are when there is an immediate risk of harm to yourself or others.
How will we use your data?
The information you share will be used to inform your psychologist in getting to know you and allow for an individualized plan of treatment to be collaboratively planned.
Psychologists take notes, which aid them in recording important information regarding your treatment journey. Any paper notes will be securely shredded immediately after being transcribed onto our computerized case notes. At CPFP we use Konfidens as a secure, GDPR-compliant platform to manage client information, clinical notes and client appointments. Your personal and health data is stored within the EU/EEA and is encrypted. we also use a two-phase password protection allowing for enhanced security of all client data. The lead Psychologist Victoria Bracken is the data controller for CPFP and Konfidens is the Data processer. Data retention.
For people who are 18 years or over at the time of their commencement with CPFP, your data will be stored for 10 years after you have completed your involvement with CPFP. For people who are 17 years or younger, at the time of commencing with CPFP, data retention will be for 20 years. This forms part of our insurance requirements in relation to professional indemnity.
Electronic correspondence:
Emails are sent via our GDPR compliant case management platform and will be stored within the contact contract before deleting.
Any bookings via texts will be updated onto the case management platform and stored within the contact contract before being deleted
Emails send from other referral sources enquiring about sessions or seeking to make an initial booking will be responded to then held for 1 month before being deleted. If the referral progresses to an appointment, this correspondence will be stored in the contact contract on the case management platform.
Phone call bookings or information enquires will be stored on the GDPR compliant case management platform. If bookings are confirmed the information will be placed in the contact contract on the case management contract.
Any phone calls, email and text messages received from current clients will be written on their contact contract within the case management system.
Clients phone number, first name and initial will be stored in the contacts area on the psychologists work smart phone. The smart phone is password protected.

No personal information of any one who is a current, prospective or past client will be used on our website.
Confidentiality and limits to confidentiality
At CPFP we are governed by the Codes of Professional Ethics of the Psychological Society of Ireland and follow the Children First Guidelines for the Protection and Welfare of Children. We provide you with a confidential service except in the following circumstances:
When there is an immediate danger to self or others. The Psychologist is ethically bound to take necessary steps to prevent this.
We are legally required to take appropriate steps disclosures when there is a suspicion that a vulnerable adult or child is being sexually or physically abused or at risk of such abuse, by someone in the present or past.
Where a valid court order is issued for psychological records, the clinician is bound by law to comply.
Should any of these circumstances occur, where possible this will be first discussed with the client.
Access to Personal Data
All Clients can request to access their records by email, and access will be arranged within 30 days.
Clients can also request updating or correcting of their data and request deletion of their data files. The deletion of any data is subject to legal requirements which indicates that we must hold data for 10 years for adults and 20 years for clients 17 years or younger. Requesting data to be sent to another data controller is also permissible, with the method of data transfer to be agreed by the person requesting transfer, the person receiving the data and CPFP.
Data Breaches
Any incidents which result in serious data breaches of identifiable data, including theft, loss or unauthorized use, will be notified to any affected party and the Data Protection Commission will be informed.
